Use case
Prepare a shared sports kit bag before a match
A club or team relies on one volunteer to prepare a shared kit bag before each match. The volunteer works from a supplied list, packs what is already available, identifies missing items, collects them from named people, and delivers the complete bag to whoever needs it on match day.
Use one Nexy thread for one agreement: Check the kit list, pack everything available, collect missing items from named people, report anything still missing by the agreed deadline, and hand the complete bag to the named recipient before the match. The other person receives a message in the chat they already use, without installing anything or creating an account; reminders stop for a task that is already done.
Try this in Nexy, freeStarts on the web. The other person installs nothing.
What it looks like
YouCan you prepare the kit bag for Saturday's match? The list is twenty items. Pack what we have in the store cupboard, collect the missing pieces from whoever has them, let me know by Thursday evening if anything is still missing, and give the finished bag to the team captain by ten o'clock Saturday morning.
ThemYes, I will check the list tonight, pack what is in the cupboard tomorrow, collect the missing items by Wednesday, tell you Thursday evening if anything is still missing, and deliver the bag to the captain by ten on Saturday.
NexyOne agreement: Check the kit list, pack everything available, collect missing items from named people, report anything still missing by the agreed deadline, and hand the complete bag to the named recipient before the match.
ThemKit bag ready. Packed eighteen items from the cupboard, collected the two spare shirts from Mark, everything on the list is in the bag, and I handed it to the captain at half past nine this morning.
NexyDone. There will be no more reminders for this completed task.
An example of people making one clear agreement and confirming when it is done.
How to do it
- Start one Nexy thread for the agreement. Read the entire kit list and confirm how many items you are preparing, where the main storage is, and who receives the finished bag.
- Go through the storage location and pack every item you find that matches the list, keeping a written note of what is missing. The other person receives a message in the chat they already use and needs no new account.
- Identify who currently has each missing item, contact each person by name, agree a specific collection time, and write down their commitment.
- Collect each outstanding piece by the agreed time, pack it immediately, and update your written record so you know what remains missing. A reminder is most useful while you could still act, usually the evening before.
- If anything is still missing by the reporting deadline, tell the organiser exactly which items are absent and who was supposed to provide them, then deliver the packed bag to the named recipient at the agreed time. Once the task is done, there are no more reminders for that completed task.
Why it works
Where it stops
Keep the agreement narrow and let the people involved make the decisions.
Questions people ask
What counts as checking the kit list properly?
Read every item on the list from start to finish and count the total number of pieces you need to pack. Write down anything that requires a specific size, colour or quantity so you pack the correct version. Confirm where the main storage is located and who gave you the list in case you need to ask questions. Check whether the list includes any items that must be packed in a particular order or kept separate from others.
How do I decide which items to pack first?
Start with everything already in the main storage location because those items require no collection effort. Pack bulky or rigid items at the bottom of the bag so softer pieces can sit on top without damage. If any items are fragile or must stay clean, wrap them separately or place them in a side pocket. Leave space for the pieces you still need to collect so you can add them without repacking everything.
What if someone has an item but I cannot reach them?
Try a second message at a different time of day in case they were busy when you first contacted them. If you still get no reply, tell the organiser immediately which item is missing and who has it so they can decide whether to contact that person themselves or find a replacement. Do not wait until the reporting deadline if you know earlier that someone is not responding. Record the exact time you tried to contact them.
How should I report missing items to the organiser?
Send one clear message listing each missing item by name, the quantity needed, and who was supposed to provide it if you know. State whether you tried to collect it and got no response, or whether nobody was assigned to provide it in the first place. Give this information by the agreed reporting deadline even if you are still hoping someone will deliver the item later. The organiser can then decide whether to find a replacement or proceed without it.
What if I find damaged or dirty kit while packing?
Set the damaged piece aside and tell the organiser immediately what the problem is and whether the item is usable or must be replaced. Do not pack anything that is visibly torn, broken, or unhygienic unless the organiser confirms it is acceptable. If you have time before the deadline, ask whether you should try to clean or repair the item yourself or leave that decision to someone else. Note the condition in your written record.
Can I pack the bag in a different order than the list?
You can pack items in any physical order that protects them and makes efficient use of space, but you must include every item on the list unless the organiser agrees to remove it. The list shows what must be in the bag, not the sequence for packing. Heavy or rigid items usually go at the bottom, softer items on top, and frequently needed pieces in accessible pockets. The recipient should find everything they expect when they open the bag.
What if someone offers me a replacement for a missing item?
Accept the replacement only if it matches the specification on the list in size, colour, quantity and condition. If the replacement is noticeably different, ask the organiser whether it is acceptable before you pack it. Write down what you substituted and who provided it so the recipient knows the bag does not contain the original item. If the replacement is clearly unsuitable, decline it politely and report the item as still missing by the deadline.
How do I hand over the bag to the recipient?
Deliver the bag at the exact time and place you agreed, or earlier if that suits the recipient and you have finished packing. Tell them briefly whether everything on the list is inside or if anything is missing, and mention any substitutions or damage you reported. If you cannot meet in person, agree a safe location where you can leave the bag and confirm by message when you have left it there. Do not assume the recipient knows what you packed.
