Use case
Organise a recording session where engineer confirms morning of
A recording session depends on whether the engineer is available, but they cannot confirm until the morning of the session itself. Everyone involved needs to know as soon as possible whether the session is going ahead so they can travel to the studio or make other plans.
Use one Nexy thread for one agreement: The engineer will send a message by 9am on the session day to confirm whether they are available, and will bring the portable interface if they can attend. The other person receives a message in the chat they already use, without installing anything or creating an account; reminders stop for a task that is already done.
Try this in Nexy, freeStarts on the web. The other person installs nothing.
What it looks like
YouCan you message the group by 9am on Thursday to let us know if you're available, and bring the portable interface if you can make it?
ThemYes, I'll message by 9am Thursday to confirm whether I can make it, and I'll bring the portable interface if I'm coming.
NexyOne agreement: The engineer will send a message by 9am on the session day to confirm whether they are available, and will bring the portable interface if they can attend.
ThemI've just confirmed I'm available and on my way – I've got the portable interface with me.
NexyDone. There will be no more reminders for this completed task.
An example of people making one clear agreement and confirming when it is done.
How to do it
- Start one Nexy thread for the agreement. Agree a specific time by which the engineer will send their confirmation message on the morning of the session, early enough that everyone else can still travel to the studio or change their plans.
- Decide what the engineer needs to bring if they are available, such as specific equipment or cables that others cannot provide. The other person receives a message in the chat they already use and needs no new account.
- Confirm who else needs to know the outcome and whether one person will pass the message on or whether the engineer will tell everyone directly.
- Discuss what happens if the engineer cannot make it – whether the session is postponed, whether someone else can cover, or whether you will record without certain tracks. A reminder is most useful while you could still act, usually the evening before.
- Agree how quickly everyone needs to respond once the engineer confirms, so the session can start on time or the studio can be notified of a cancellation. Once the task is done, there are no more reminders for that completed task.
Why it works
Where it stops
Keep the agreement narrow and let the people involved make the decisions.
Questions people ask
What if the engineer cannot confirm by the agreed time?
Decide in advance what the default plan is if no message arrives by the deadline. Some groups assume the session is cancelled unless they hear otherwise, while others assume it is going ahead and only need a message if the engineer cannot make it. Make sure the engineer knows which approach you are using. If the morning deadline passes without word, one person should try calling the engineer directly before everyone travels. Agree whether the session will wait thirty minutes or whether you will start without certain tracks.
How do I decide what time the engineer needs to confirm by?
Work backwards from the session start time and the longest travel journey anyone needs to make. If the session starts at 11am and someone needs ninety minutes to reach the studio, a 9am confirmation gives them time to leave by 9:30am. Consider whether people are coming from home or work, and whether they need to collect equipment before travelling. Choose a time that feels early but is realistic for the engineer to know their availability. Some engineers can confirm by 8am, others need until mid-morning.
What should the engineer bring if they confirm they are available?
List any equipment the engineer owns that you cannot borrow elsewhere – perhaps a specific microphone, a portable interface, or cables that match their setup. Confirm whether the studio provides everything else or whether other people are bringing instruments, headphones, or music stands. If the engineer is also performing, clarify whether they need to bring their instrument or whether one is available at the studio. Write down what the engineer is responsible for so there is no confusion on the day about who was supposed to bring each item.
What if the engineer becomes unavailable after confirming they can attend?
Discuss this possibility before the session day so everyone knows what to do. If the engineer confirms at 9am but then has an emergency, decide whether the session continues without them, whether someone else can operate the equipment, or whether you postpone. Agree how quickly the engineer should let everyone know if plans change after the initial confirmation. Some groups continue and record scratch tracks, others cancel immediately. Make sure the studio knows your policy if you have paid for the booking in advance.
Should one person relay the engineer's message or does everyone need to hear directly?
If the group is small and everyone checks messages frequently, the engineer can tell everyone at once in a shared conversation. If some people are less connected in the morning, choose one person to receive the engineer's confirmation and immediately pass it on to everyone else. That person should be someone who wakes early and can forward the message quickly. Confirm everyone's preferred contact method – some people check messages but not email before mid-morning, others are the opposite.
How do I organise this if several people need to confirm availability?
If both the engineer and another person can only confirm on the morning, agree a time by which both will send their messages, and decide whether the session needs both people or can go ahead with just one. The earlier person might wait to see the later person's message before travelling. Some groups ask the less certain person to confirm first, so the more reliable person can make a final decision. Agree who makes the final call about whether the session goes ahead if you receive mixed responses.
What if the studio needs more notice than the morning of the session?
Contact the studio in advance to explain that one key person can only confirm on the day, and ask about their cancellation policy. Some studios allow same-day cancellations without charge if you explain the situation when booking, others require 24 or 48 hours' notice. You might pay a deposit and accept losing it if the session cannot go ahead, or you might find a studio with a more flexible policy. Confirm whether the studio needs a message by a specific time on the morning to avoid charges.
How do I keep everyone ready to travel once the engineer confirms?
Ask everyone to prepare the night before as though the session is definitely happening – pack equipment, charge devices, check travel routes and have breakfast early. Once the engineer's message arrives, people can leave immediately rather than spending thirty minutes getting ready. Some groups agree to meet at a halfway point so people can share transport, which means fewer individual journeys to cancel if the session does not go ahead. Remind everyone the evening before what time they should expect the confirmation message.

Related use cases
- Agree who submits final headcount for catering order
Someone needs to collect attendance confirmations and give the caterer a final number before their cut-off time. The person doing this needs to know the deadline, how to reach the caterer, and what to do if responses arrive late.
- Get a carpenter to call when timber delivery arrives
You need a carpenter to start work as soon as timber arrives at a yard or site, but neither of you knows the exact delivery time. Someone needs to watch for the delivery and notify the carpenter immediately so they can come and begin the job.
- Confirm who brings backup cables to a live performance
When a band or ensemble performs live, equipment failure can halt the show. Spare cables must be present at the venue before sound check begins.
