Use case

Get a piano tuner to call when next working your area

Piano tuners often work in geographical loops, visiting several clients in the same neighbourhood on one trip. You want the tuner to contact you when they next plan work near your postcode, so you can decide on the day whether to add an appointment.

Use one Nexy thread for one agreement: I will phone you the next time I am working in your area, so you can decide whether you want me to call round. The other person receives a message in the chat they already use, without installing anything or creating an account; reminders stop for a task that is already done.

Try this in Nexy, freeStarts on the web. The other person installs nothing.

What it looks like

An example of people making one clear agreement and confirming when it is done.

How to do it

  1. Start one Nexy thread for the agreement. Explain to the tuner that you would like advance notice when they are next working near your postcode, rather than booking a fixed appointment weeks ahead.
  2. Agree how much notice counts as useful—some people prefer a call the evening before, others are happy with a few hours' notice on the morning. The other person receives a message in the chat they already use and needs no new account.
  3. Confirm what happens if you are unavailable when they call: whether they will leave a message, try again later that day, or wait until their next visit to the area.
  4. Decide how you will respond if the timing works—whether the tuner will call round immediately, later that same day, or arrange a specific time while they are still local. A reminder is most useful while you could still act, usually the evening before.
  5. Agree how long this arrangement will last: whether it applies just to the next visit, for the rest of the season, or until one of you suggests a different approach. Once the task is done, there are no more reminders for that completed task.

Why it works

One clear agreementOne agreement per thread keeps this specific commitment separate from the rest of the conversation.
People choose the ownerAn unclaimed task is announced to the whole group. Nexy does not choose a person or assign it for you.
Done means no remindersA person who has already completed the task is left alone. Finishing is different from receiving another reminder.

Where it stops

Keep the agreement narrow and let the people involved make the decisions.

One agreement per threadUse this thread for the specific agreement, rather than treating it as an entire project.
No automatic assignmentNexy announces unclaimed tasks to the group; the people decide who will act.
No reminders after doneCompleted tasks are not a reason to keep reminding someone.

Questions people ask

What should I agree with the tuner about timing?

Agree how much notice is realistic and useful for both of you. Some tuners can give you a day's warning when they plan a local route, while others only know their schedule a few hours ahead. Decide whether you need time to move furniture, clear space around the piano, or simply be at home. If you need half a day to prepare, say so. If you can be ready in an hour, that gives the tuner more flexibility to fit you in between other appointments on the same trip.

What if I am not available when the tuner calls?

Agree in advance what happens if you miss the call or cannot take the appointment that day. The tuner might try you again a few hours later if they have a gap, or they might move on and contact you during their next visit to the area instead. Some tuners will leave a message with a time window, others prefer to speak directly so you can confirm immediately. Make sure you both understand whether a missed call means waiting several weeks for the next local visit, so you can decide how important it is to answer promptly.

How do I know the tuner will remember to call me?

When you make the agreement, confirm that the tuner has your correct contact number and understands which area or postcode you want them to watch for. Some tuners keep a list of clients who want short-notice calls and check it when planning each route. If you are concerned, you could send a brief message a few weeks later reminding them of the arrangement, especially if you know they usually visit your area at certain times of year. The tuner is more likely to remember if the arrangement is simple and clear from the start.

Can I still book a fixed appointment instead?

Yes—asking for a call when the tuner is next local does not prevent you booking a fixed appointment if your piano needs urgent attention or you want certainty about a specific date. You can tell the tuner that you will wait for their local visit unless something changes, or you can switch to a fixed booking at any time. If you do book a fixed appointment, let the tuner know so they do not also try to contact you for a short-notice visit around the same time. Either approach is fine; choose whichever suits your schedule and the piano's condition.

What if the timing does not work out on the day?

If the tuner calls but you cannot accommodate a visit that day, simply say so and ask them to try again next time they are in the area. Neither of you is committed to making every opportunity work. The tuner may have other appointments nearby and can fill the time elsewhere; you can wait for the following visit if this one does not suit. This arrangement works best when both of you understand that some calls will not convert to appointments, and that is perfectly acceptable. It reduces wasted journeys without creating pressure to accept inconvenient timing.

How do I prepare if I only get a few hours' notice?

Decide in advance what you can realistically do at short notice, and make sure the tuner knows your limits. If you need the piano clear of books, photographs or plants, keep those items somewhere you can move them quickly. If you need to be at home, make sure the tuner understands your availability—morning only, afternoons preferred, or any time with two hours' warning. Some people leave the piano ready all the time during the season when the tuner usually visits. The clearer you are about what you can manage, the more likely the arrangement will work smoothly.

What if the tuner stops visiting my area regularly?

If the tuner's route changes or they no longer work your area often, they should let you know so you can make other arrangements. When you first agree the arrangement, you could ask how frequently they usually visit your neighbourhood—monthly, every few months, or only once or twice a year. If several months pass without contact and you know the tuner has been working nearby, you can send a brief message to check whether the arrangement still stands. If their schedule has changed permanently, you may need to book fixed appointments or find a different tuner who works your area more regularly.

How does this arrangement end?

Either of you can end the arrangement at any time by simply saying so. If you book a tuner who works locally and no longer want short-notice calls, mention it next time you speak. If the tuner finds the arrangement does not fit their schedule, they will let you know. Some people agree the arrangement will apply for one season or one year, then review it. Others leave it open-ended until circumstances change. The arrangement works because it is informal and convenient; if it stops being convenient for either party, you can return to fixed appointments or try a different approach without difficulty.
