Use case

Confirm who brings the projector to a presentation venue

Someone needs to bring the projector from storage or home to the venue before the presentation starts. The group needs one volunteer to take responsibility for collecting, transporting and delivering the equipment on time.

Use one Nexy thread for one agreement: I will bring the projector to the venue by 2pm on Thursday and bring the power cable and VGA adapter. The other person receives a message in the chat they already use, without installing anything or creating an account; reminders stop for a task that is already done.

Try this in Nexy, freeStarts on the web. The other person installs nothing.

What it looks like

An example of people making one clear agreement and confirming when it is done.

How to do it

  1. Start one Nexy thread for the agreement. Ask the group who can collect the projector from wherever it is stored and bring it to the venue before the presentation begins.
  2. Agree on the exact handover time and location at the venue, giving enough margin to set up and test the equipment before the audience arrives. The other person receives a message in the chat they already use and needs no new account.
  3. Confirm that the same person will bring the power cable, remote control and any adapters needed for different laptop connections.
  4. Send a reminder message the evening before the presentation repeating the agreed time, venue address and which items to bring. A reminder is most useful while you could still act, usually the evening before.
  5. Ask the person to confirm arrival at the venue once they have delivered the projector so everyone knows the equipment is in place. Once the task is done, there are no more reminders for that completed task.

Why it works

One clear agreementOne agreement per thread keeps this specific commitment separate from the rest of the conversation.
People choose the ownerAn unclaimed task is announced to the whole group. Nexy does not choose a person or assign it for you.
Done means no remindersA person who has already completed the task is left alone. Finishing is different from receiving another reminder.

Where it stops

Keep the agreement narrow and let the people involved make the decisions.

One agreement per threadUse this thread for the specific agreement, rather than treating it as an entire project.
No automatic assignmentNexy announces unclaimed tasks to the group; the people decide who will act.
No reminders after doneCompleted tasks are not a reason to keep reminding someone.

Questions people ask

What details should the volunteer confirm before agreeing to bring the projector?

The volunteer should confirm where the projector is currently stored, whether they have a key or access to collect it, and whether they have transport large enough to carry it safely. They should also check they know the exact venue address and can arrive at the agreed time. If the projector belongs to someone else, they need to confirm permission to collect it and any instructions for handling it. Finally, they should verify which cables, adapters and accessories are needed so nothing is forgotten.

How early should the projector arrive before the presentation starts?

The projector should arrive with enough time to unpack, connect to a laptop, focus the image and adjust the screen position before the audience enters. Thirty to sixty minutes before the scheduled start gives a comfortable margin for troubleshooting connection problems or testing with different laptops. If the presentation is in an unfamiliar venue, allow extra time to locate the room, find power outlets and arrange furniture. Arriving early also means the presenter can rehearse with the actual equipment and check slide visibility from different seats.

What should the volunteer do if they realize they cannot bring the projector after all?

As soon as they know they cannot fulfill the agreement, they should tell the group immediately so someone else can volunteer. The sooner they speak up, the more time others have to make alternative arrangements. They should explain briefly what has changed, apologize for the inconvenience, and offer to help find a replacement if possible. If they have already collected the projector, they should arrange to pass it to whoever takes over the task. Last-minute cancellations cause serious problems, so early communication is essential even if the news is unwelcome.

Should the same person who brings the projector also take it away afterwards?

The group should agree in advance who will pack up and return the projector after the presentation ends. Often the same person who delivered it also takes it home or back to storage, but if they need to leave early, someone else must take responsibility. Agree on where the projector will be stored overnight if it cannot be returned immediately. Confirm who holds keys or access to the storage location. Make sure the person taking it away knows to collect all cables, adapters and accessories, not just the projector body.

What should happen if the projector is damaged or missing parts when collected?

The volunteer should report any damage, missing cables or other problems immediately after collecting the projector, not after arriving at the venue. Take a photo of any visible damage and share it with the group. If essential parts are missing, the group needs time to borrow replacements or find an alternative projector. If minor items like a remote control are missing, confirm whether the presentation can proceed without them or whether someone needs to source a replacement. Do not wait until setup time to discover critical equipment failures.

How can the group reduce the risk of forgetting essential cables or adapters?

Create a checklist when the volunteer first agrees to bring the projector, listing the projector body, power cable, video cables, remote control and any adapters for HDMI, VGA or USB-C connections. Ask the presenter which laptop they will use and confirm the correct adapter for that specific machine. When the volunteer collects the equipment, ask them to photograph the complete set and share the image with the group. If anything is missing, there is still time to locate it. On the day, the reminder message should repeat the full checklist.

What should the volunteer do if the venue doors are locked when they arrive?

Before the presentation day, confirm who will unlock the venue and at what time. Get the contact details of the person with keys so the volunteer can call if doors are locked. Agree on a backup meeting point nearby if early access is not possible. If the volunteer arrives and cannot get in, they should contact the keyholder immediately and keep the group informed. If the delay risks missing the setup window, the group may need to adjust the presentation start time or find someone else already inside to receive the equipment.

Should the volunteer test the projector before bringing it to the venue?

Testing at home or at the storage location catches problems early and avoids surprises during setup. Connect the projector to a laptop, check that the image appears clearly, and verify that all buttons and remote controls work. Inspect cables for fraying or loose connections. If the bulb is dim or the cooling fan sounds unusual, raise these issues with the group before the presentation day. Testing takes only a few minutes but can prevent a failed presentation. If problems are found, there is time to repair, replace or borrow alternative equipment.
