Use case

Agree who photographs the whiteboard after each meeting

When a meeting uses a whiteboard for diagrams, brainstorming or action lists, someone needs to photograph it before the room is cleaned or another group arrives. Without a clear commitment, notes vanish and no one has a record of what was decided.

Use one Nexy thread for one agreement: One person will photograph the whiteboard clearly at the end of each meeting and share the images in the group conversation before leaving the venue. The other person receives a message in the chat they already use, without installing anything or creating an account; reminders stop for a task that is already done.

Try this in Nexy, freeStarts on the web. The other person installs nothing.

What it looks like

An example of people making one clear agreement and confirming when it is done.

How to do it

  1. Start one Nexy thread for the agreement. Decide during or at the start of the meeting who will photograph the whiteboard before everyone disperses.
  2. Agree that the photographer will capture every section, including corners and any overflow on side panels, in enough detail that handwriting remains legible. The other person receives a message in the chat they already use and needs no new account.
  3. Confirm the photographer will check each image for clarity, reflections and glare before leaving the room, and retake any unclear shots immediately.
  4. Specify that all images must be shared in the group conversation before the photographer leaves the building, so everyone can review notes while context is fresh. A reminder is most useful while you could still act, usually the evening before.
  5. Agree what happens if the nominated person must leave early: either they photograph the board before departing, or they announce who will cover the task in their place. Once the task is done, there are no more reminders for that completed task.

Why it works

One clear agreementOne agreement per thread keeps this specific commitment separate from the rest of the conversation.
People choose the ownerAn unclaimed task is announced to the whole group. Nexy does not choose a person or assign it for you.
Done means no remindersA person who has already completed the task is left alone. Finishing is different from receiving another reminder.

Where it stops

Keep the agreement narrow and let the people involved make the decisions.

One agreement per threadUse this thread for the specific agreement, rather than treating it as an entire project.
No automatic assignmentNexy announces unclaimed tasks to the group; the people decide who will act.
No reminders after doneCompleted tasks are not a reason to keep reminding someone.

Questions people ask

Who should be responsible for photographing the whiteboard?

Choose someone who stays until the end of the meeting and has a phone or camera available. The person running the meeting, the note-taker, or whoever sits closest to the board are common choices. Rotate the responsibility if the same group meets regularly, so no single person always carries the task. Agree the choice openly so everyone knows who is responsible before the meeting concludes.

What if the person photographing the whiteboard has to leave early?

They should either photograph the board before departing, even if the meeting has not finished, or announce to the group that they are leaving and confirm who will take over. The replacement should acknowledge the handover out loud so there is no confusion. If no one else can do it, the meeting organiser becomes responsible by default. Clear handover prevents the task vanishing when someone exits unexpectedly.

How do you make sure the whiteboard photos are legible?

Stand square to the board and fill the frame without cutting off edges. Check each image immediately for glare, reflections from windows or lights, and blurred handwriting. If any section is unclear, wipe reflections with your shadow or reposition slightly and retake the shot. Zoom in on your phone after capturing to confirm small writing is readable. Retake before leaving the room, because you cannot go back once the board is erased.

What happens if someone forgets to photograph the whiteboard?

Notes are lost unless the board remains untouched until someone returns. If the meeting room is booked again immediately, another group may erase it. Agree at the start of each meeting who holds the responsibility, and confirm aloud at the end that the photographs have been taken and shared. If pictures arrive in the group chat before people leave the building, everyone can verify nothing important was missed while correction is still possible.

Should the photographer send images immediately or later?

Send them before leaving the venue. Immediate sharing lets participants check legibility and request retakes if something is unclear, while the board still exists. Waiting until later risks forgetting, losing the images, or discovering problems when it is too late to fix them. Sharing in the same conversation used for meeting coordination keeps everything together. Confirming receipt in the chat confirms the task is truly complete and images have arrived safely.

How do you photograph a whiteboard covered with detailed diagrams?

Take one wide shot showing the entire board for context, then capture each section individually in enough detail that arrows, labels and small annotations remain readable. Overlap sections slightly so nothing is lost between frames. If diagrams span multiple boards or flip-chart sheets, photograph each separately and share them in sequence. Number the images or describe them briefly when sharing so people know which photo shows which part of the discussion.

What if the whiteboard has information that should not be shared widely?

Agree before photographing whether images should go only to meeting participants or a wider group. If sensitive details appear on the board, the photographer might erase those sections first and note what was removed, or send images directly to individuals rather than a general chat. Discuss this openly during the meeting so the photographer knows exactly who should receive the images and whether any content must be excluded or obscured before sharing.

Can someone else take responsibility if the original person forgets their phone?

Yes. If the nominated photographer has no device, they should announce it immediately and ask who can cover. Someone else confirms they will do it, and the original person is released from the responsibility for that meeting. Make the substitution explicit so two people do not both assume the other is handling it, or worse, both assume no one is. A clear verbal handover prevents notes disappearing because everyone thought someone else was responsible.
