Use case

Organise film screening where subtitles tested day before

A film screening needs subtitles loaded and tested before the audience arrives. One person agrees to play through a sample the evening before to catch technical problems while there is still time to fix them.

Use one Nexy thread for one agreement: I will test the subtitles file on the venue laptop the evening before the screening and let you know it plays correctly. The other person receives a message in the chat they already use, without installing anything or creating an account; reminders stop for a task that is already done.

Try this in Nexy, freeStarts on the web. The other person installs nothing.

What it looks like

An example of people making one clear agreement and confirming when it is done.

How to do it

  1. Start one Nexy thread for the agreement. Agree who will visit the venue the evening before to test the subtitles on the equipment that will be used for the screening.
  2. Confirm which version of the subtitles file that person will test and where they can collect it or download it. The other person receives a message in the chat they already use and needs no new account.
  3. Decide what counts as a successful test: correct timing, no missing lines, readable font size, and playback without freezing.
  4. Set a time the evening before when the venue will be open and the person testing can work without interruption. A reminder is most useful while you could still act, usually the evening before.
  5. Agree how the person testing will report the result—whether everything worked or what needs to be fixed overnight. Once the task is done, there are no more reminders for that completed task.

Why it works

One clear agreementOne agreement per thread keeps this specific commitment separate from the rest of the conversation.
People choose the ownerAn unclaimed task is announced to the whole group. Nexy does not choose a person or assign it for you.
Done means no remindersA person who has already completed the task is left alone. Finishing is different from receiving another reminder.

Where it stops

Keep the agreement narrow and let the people involved make the decisions.

One agreement per threadUse this thread for the specific agreement, rather than treating it as an entire project.
No automatic assignmentNexy announces unclaimed tasks to the group; the people decide who will act.
No reminders after doneCompleted tasks are not a reason to keep reminding someone.

Questions people ask

Who should test the subtitles the day before?

Someone who can visit the venue the evening before and who knows how to load the file onto the playback equipment. This might be the projectionist, the venue technician, or the organiser if they have access. Choose someone who can describe any problems clearly enough for you to fix the file overnight if needed. The person testing should also know what correct timing looks like for that particular film.

What should the person testing actually check?

Play through at least the first ten minutes and skip through the rest to check the subtitles appear at the right moments, the text is readable, and there are no missing lines. Check that the file format loads without errors and the font size works for people sitting at the back. If the film has scene changes or fast dialogue, test those sections to catch timing drift or freezing.

When is the best time to test subtitles before a screening?

The evening before the screening, after the venue has closed to the public but while there is still time to fix problems overnight. Testing the morning of the event is too late if you need to re-encode a file or find a different version. Testing two days before is safer if you expect compatibility issues, but you still need someone to confirm nothing has changed the evening before.

What if the subtitles do not play correctly during the test?

The person testing should describe exactly what went wrong: file would not load, timing was off by a certain number of seconds, text was unreadable, or playback froze at a specific point. Send that information immediately so you can prepare a corrected file or find an alternative version overnight. Agree in advance who will fix the problem and when they will deliver a replacement file to test again.

How does the person testing confirm everything worked?

Send a short message confirming the subtitles file loaded, played in the correct position throughout the sample sections, and the text was readable from the back of the room. Mention any small issues that did not stop playback but might need attention, such as a slightly small font or a line that appeared briefly out of position. Confirmation means the screening can go ahead as planned without last-minute technical work.

Who keeps the tested subtitles file safe until the screening?

The person who tested the file should leave it loaded on the venue laptop or leave clear instructions about which file to use and where it is saved. If the file is on a portable drive, agree where that drive will be stored overnight and who will collect it before the screening starts. Do not rename or move the file after testing, because even small changes can cause playback problems.

What if the person who agreed to test cannot get to the venue?

Agree a replacement as soon as you know the original person cannot make it, and send them the same instructions about which file to test and what to check. The replacement should have access to the venue and know how to reach you if problems come up. If no replacement is available, you may need to test the morning of the screening and accept there will be less time to fix issues.

Should the person testing also check the sound?

If the subtitles are for a film with dialogue, play the sound at the same time to confirm the text matches what is spoken and appears at the right moment. If the subtitles are for a silent film or a film with music only, check the text matches any on-screen titles or narration. Testing sound and subtitles together catches timing problems you might miss by watching the text alone.
