Use case

Agree who returns borrowed equipment after a collaboration ends

After a collaboration finishes, borrowed equipment needs to go back to whoever lent it. Someone must take each item to the right place, confirm the owner has it, and close the loop so no one else waits.

Use one Nexy thread for one agreement: I will return the drill to Marcus by Thursday evening and let you know once he confirms he has it back. The other person receives a message in the chat they already use, without installing anything or creating an account; reminders stop for a task that is already done.

Try this in Nexy, freeStarts on the web. The other person installs nothing.

What it looks like

An example of people making one clear agreement and confirming when it is done.

How to do it

  1. Start one Nexy thread for the agreement. List every borrowed item, who lent it, and where it needs to go back to so nothing is forgotten.
  2. Decide who will return each item based on who lives nearest the lender or has the most convenient schedule. The other person receives a message in the chat they already use and needs no new account.
  3. Agree a specific day and time window for each return so the lender knows when to expect their equipment.
  4. Confirm what counts as properly returned: handing it to the lender in person, leaving it in an agreed place, or getting a text confirmation. A reminder is most useful while you could still act, usually the evening before.
  5. Ask the person returning each item to report back once the lender confirms they have it so everyone knows the task is finished. Once the task is done, there are no more reminders for that completed task.

Why it works

One clear agreementOne agreement per thread keeps this specific commitment separate from the rest of the conversation.
People choose the ownerAn unclaimed task is announced to the whole group. Nexy does not choose a person or assign it for you.
Done means no remindersA person who has already completed the task is left alone. Finishing is different from receiving another reminder.

Where it stops

Keep the agreement narrow and let the people involved make the decisions.

One agreement per threadUse this thread for the specific agreement, rather than treating it as an entire project.
No automatic assignmentNexy announces unclaimed tasks to the group; the people decide who will act.
No reminders after doneCompleted tasks are not a reason to keep reminding someone.

Questions people ask

What if we borrowed items from several different people?

Make a list showing each item, the lender's name, and where it needs to go. Assign one person to each return based on who lives closest or has the easiest route. Agree a deadline for each return separately so the person doing it can plan their journeys. Ask each person to confirm once their lender has the item back so you know which returns are finished and which still need doing.

How do we decide who should return which items?

Look at where each lender lives or works and who passes nearest on their regular journeys. If one person borrowed an item directly, they might feel responsible for returning it themselves. If items are heavy or bulky, choose whoever has transport that day. Agree together rather than assuming someone will do it, and make sure the person returning each item actually agrees to the deadline you set.

What if the lender is not home when we try to return something?

Agree in advance whether the item can be left in a safe place like a shed or with a neighbour, or whether the lender must be there in person. If you need to arrange a time, send a message asking when suits them before you travel. If they are not home and you cannot leave it safely, agree a new time together and let the other person know the return is delayed so they do not think it is finished.

What counts as properly returned?

Decide together whether the lender needs to confirm in writing that they have the item back, or whether leaving it in an agreed place is enough. If equipment might be damaged, agree whether the person returning it should check the condition with the lender before they leave. Make sure the person doing the return knows exactly what confirmation you expect so they can report back clearly and everyone agrees the task is done.

What if the equipment is damaged or a piece is missing?

The person returning it should tell the lender as soon as they notice and explain what happened if they know. Agree together who will replace or repair the item and by when, or whether the lender wants to handle it themselves. Let the other person know there is a problem and what you agreed with the lender so they are not waiting for a completion message that cannot come yet.

How do we handle returns if people live far apart?

If the lender lives a long way from everyone, ask whether they are happy for the item to be posted or delivered by courier. Agree who will pay for postage and who will arrange it. If posting is not suitable, check whether the lender will be near your area soon so you can hand it over then. Agree a realistic deadline that allows time for travel or delivery and confirm the method everyone is comfortable with.

What if the person who agreed to return something cannot do it anymore?

They should say so as soon as they know, explain why if they can, and suggest someone else who might go instead. The group agrees together who will take over and whether the deadline needs to change. The new person confirms they have the item and know where it is going, and the original deadline is adjusted if necessary so the new person has enough time to make the journey.

How do we know when all returns are completely finished?

Ask each person returning an item to send one message once the lender confirms they have it back. Keep a list showing each item, who is returning it, and whether it is done. When every return on the list has a completion message, the task is finished. If someone does not report back by the agreed deadline, send a reminder asking whether the return happened or if there is a problem that needs sorting out.
