Use case

Agree who will let a repair visitor in

A plumber, electrician or appliance engineer has booked a visit and someone needs to be home. You want to agree who will be there, what time window to expect them, and how everyone will know the repair is finished.

Use one Nexy thread for one agreement: I will be home between nine and one on Thursday to let the boiler engineer in, stay while they work, and message the group when they leave with what was done. The other person receives a message in the chat they already use, without installing anything or creating an account; reminders stop for a task that is already done.

Try this in Nexy, freeStarts on the web. The other person installs nothing.

What it looks like

An example of people making one clear agreement and confirming when it is done.

How to do it

  1. Start one Nexy thread for the agreement. Confirm the appointment window the repair company gave you and share that time range with everyone who might be available.
  2. Ask who can be home for the full window, making clear they need to stay present rather than just unlock the door and leave. The other person receives a message in the chat they already use and needs no new account.
  3. Agree one person who will be the contact if the engineer calls, and make sure that person's number is on the booking.
  4. Decide what counts as done: a message saying the visitor has left, what work happened, whether anything else needs doing, and where any paperwork is. A reminder is most useful while you could still act, usually the evening before.
  5. If the person who agreed cannot make it, they tell the group as soon as they know so someone else can cover or the appointment can be moved. Once the task is done, there are no more reminders for that completed task.

Why it works

One clear agreementOne agreement per thread keeps this specific commitment separate from the rest of the conversation.
People choose the ownerAn unclaimed task is announced to the whole group. Nexy does not choose a person or assign it for you.
Done means no remindersA person who has already completed the task is left alone. Finishing is different from receiving another reminder.

Where it stops

Keep the agreement narrow and let the people involved make the decisions.

One agreement per threadUse this thread for the specific agreement, rather than treating it as an entire project.
No automatic assignmentNexy announces unclaimed tasks to the group; the people decide who will act.
No reminders after doneCompleted tasks are not a reason to keep reminding someone.

Questions people ask

What if the engineer arrives outside the window we agreed?

The person at home decides whether to let them in or ask them to come back. If it is much earlier or later than the booking, they can message the group to check, or call the repair company to confirm the appointment. The important thing is the person present has the authority to make that call without waiting for approval. Afterwards, they tell everyone what happened and what time the work actually started.

Should the person at home approve extra work the engineer recommends?

Agree in advance whether the person at home can approve additional costs and up to what amount. For a minor part costing twenty or thirty pounds they might say yes. For anything expensive, they can ask the engineer to wait while they message the group and get a quick decision. If no one responds within a few minutes, the safe answer is to decline extra work and book a second visit once everyone has discussed it properly.

What if no one can be home for the whole window?

The group needs to decide whether to reschedule the appointment or arrange overlapping coverage so someone is always there. For example, one person stays until noon and another arrives at eleven thirty. The engineer's company should have one contact number, so whoever is there first takes calls. If you cannot overlap, you have to move the booking to a day when one person can commit to the full time range given.

What details should the completion message include?

Say what time the engineer left, what repair they did, whether it is fully working now, if they recommended anything else, and where they left any invoice or paperwork. For example: left at twelve fifteen, replaced the pump, heating now works, said the radiator in the spare room needs bleeding, invoice on the kitchen counter. That way everyone knows the job is done and whether there is follow-up work or payment to deal with.

Can someone let the engineer in and then go out?

Only if the repair company explicitly says they are happy working unattended, which most will not. Tradespeople usually expect someone to be present the whole time for access to different rooms, to answer questions, and for security. If you let them in and leave, they may stop work and reschedule. Check the booking confirmation to see if they require someone home throughout, then make sure whoever agrees knows they are committing to stay.

What if the person at home is not the one who booked the repair?

The person at home needs to know what repair was booked, roughly how long it should take, and where the problem is. For example: boiler losing pressure, hot water cylinder in the airing cupboard, should take about an hour. They do not need to understand the technical details, but they should be able to show the engineer the right equipment and confirm afterwards that the visit was for the issue everyone expected.

Should we tell the engineer that the person at home is not the householder?

That depends on your arrangement. If the repair was booked and will be paid for by someone else, make sure the engineer knows that when they arrive so they do not ask the person present for payment or a signature authorising work. The booking should already have the bill payer's details. The person at home is just there to provide access and stay present, not to handle payment or contracts unless you agreed that in advance.

What happens if the engineer does not show up at all?

The person who agreed to be home waits until the end of the time window, then messages the group to say no one came. Someone calls the repair company to find out what happened and whether they are still coming or need to rebook. The person at home can leave once the group agrees the visit is definitely not happening today. Make a note of what the company says and confirm the new appointment in writing to avoid the same confusion next time.
